Printer Buying Guide: Running Costs and Used Checks
Updated 4 November 2026
A practical PakDevices buying checklist for comparing the actual item and its written terms. This guide does not claim a hands-on test of every model.
Quick buying checklist
- Required print, scan, duplex and paper functions
- Consumable part numbers and local supply quotes
- Actual test prints and error status
- Software support, accessories and written checking terms
Start with the work you need to print
Write down whether you need colour, monochrome text, scanning, copying, automatic duplex or a particular paper size. Confirm each required function for the exact model. A multifunction printer may not provide every function in the same way, and a seller’s broad description may omit useful limitations.
Find the consumables before buying the printer
Identify the correct cartridge, bottle, toner and drum part numbers. Check current local availability and written prices for the supplies you intend to use. Some printers use a separate drum or other maintenance component. Ask what is installed now and whether starter supplies or partly used consumables are included.
Estimate cost per page carefully
Divide the price of a consumable by a realistic expected yield, then account separately for paper and other maintenance costs. Manufacturer yields are reference figures under stated test conditions. They are not a promise that every cartridge will print that many of your pages. Coverage, document type and printing patterns can change the result. Compare the assumptions as well as the final number.
Ask for output from the actual used printer
Request a configuration or status page and representative test prints, including the functions you need. Inspect text, solid areas and colour output where applicable. Ask about error messages, jams, leaks, servicing and parts already replaced. A low purchase price can be poor value if the first required consumable or repair is expensive.
Check connection and software support
Confirm the USB, Ethernet or Wi-Fi function you intend to use. Check the manufacturer’s current driver or supported printing method for your operating system. Ask whether a network feature requires an additional accessory. Account for cables, the power supply and any setup work in the total quote.
Agree delivery and checking arrangements
Confirm how the printer will be transported and what consumables or accessories travel with it. Follow the manufacturer’s handling instructions for the model. Record the checking period, known faults and return procedure. Compare a seller’s current quote with dated reference prices only after matching the model and condition.
